1. Acceptance of Terms

By accessing or using TheCommunityCore.com ("TheCore," "we," "us," or "our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use our services.

These Terms apply to all users of TheCore, including clients, administrators, team members, and visitors.

1.1 Sanctions Compliance

TheCore is subject to UK government sanctions and export control regulations. We cannot provide services to, or enter into agreements with, individuals, organizations, or entities located in, or subject to sanctions imposed by the United Kingdom, United Nations, European Union, or United States.

This includes, but is not limited to:

  • Russia and Belarus — No services provided to Russian or Belarusian companies, entities, or individuals in response to UK sanctions
  • Other Sanctioned Countries — North Korea, Iran, Syria, Cuba, and any other territories subject to comprehensive UK sanctions
  • Designated Persons and Entities — Any individual or organization on UK sanctions lists, including the UK Consolidated List of Financial Sanctions Targets
Sanctions Compliance: By using TheCore, you certify that you are not located in, operating from, or representing any sanctioned territory or entity. If we discover that you are subject to sanctions, your account will be immediately terminated without refund, and we are legally required to report the matter to UK authorities. Violating sanctions laws may result in criminal prosecution.

We reserve the right to refuse service to any individual or entity to comply with applicable sanctions laws. Sanctions lists are updated regularly, and we monitor compliance on an ongoing basis.

2. Description of Service

TheCore is a community intelligence platform that provides:

  • Real-time analytics and insights for Discord communities
  • AI-powered sentiment analysis and trend detection
  • Engagement metrics, user cohort tracking, and retention analysis
  • Custom alerts and notifications
  • Community management support services
  • Dedicated analytics dashboards

2.1 Consultation-Based Onboarding

TheCore operates on a partnership-first model. We do not offer self-service sign-ups or instant access. All prospective clients must complete an initial free consultation directly with our founders before service begins. During this consultation, we:

  • Learn about your community goals, challenges, and culture
  • Assess whether TheCore's services align with your needs
  • Determine if we believe we can deliver meaningful value to your community
  • Ensure mutual fit before any financial commitment is made

This consultation is provided at no cost and involves no obligation to proceed. We reserve the right to decline service to any prospective client if we determine that TheCore is not the right fit for their needs, goals, or community type. This ensures we maintain high service quality and can dedicate appropriate resources to each client we serve.

3. Eligibility and Sanctions Compliance

3.1 Restricted Territories and Sanctioned Entities

TheCore is subject to UK government sanctions and export control regulations. We cannot provide services to, or enter into agreements with, individuals, organizations, or entities located in, or subject to sanctions imposed by the United Kingdom, United Nations, European Union, or United States.

This includes, but is not limited to:

4. User Accounts

4.1 Account Creation

To use TheCore, you must authenticate via Discord OAuth. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

Security Requirement: We strongly recommend that all users enable two-factor authentication (2FA) on their Discord accounts. For Client Admins and users with elevated permissions, 2FA may be required for security compliance.

4.2 Account Roles

TheCore uses role-based access control:

  • Super Admin: Full platform access (TheCore staff only)
  • Client Admin: Full access to assigned Discord servers and data
  • Client User: Limited access as granted by Client Admin

4.3 Account Security

You must notify us immediately of any unauthorized use of your account or any security breach. We are not liable for any loss or damage arising from your failure to protect your account credentials.

5. Bot Installation and Permissions

5.1 Discord Bot

TheCore operates a Discord bot that must be installed in your Discord server. By installing the bot, you grant us permission to:

  • Read message metadata (message IDs, timestamps, channel IDs, user IDs, message length)
  • Monitor member join/leave events
  • Track reaction events
  • Monitor voice channel activity
  • Send messages in designated support channels (bridge functionality)
Bot Setup Permissions: During initial setup and configuration, authorized TheCore team members may require temporary Administrator permissions on your Discord server to properly install and configure the bot, channels, and integration settings. Once setup is complete and the bot is functioning correctly, these elevated human permissions can be revoked. However, the bot's permissions must remain unchanged for TheCore to continue functioning properly.

5.2 Data Collection

TheCore collects metadata for analytics purposes but does NOT store full message content. Message samples (up to 500 characters) may be analyzed by AI for sentiment analysis.

6. Acceptable Use Policy

You agree NOT to use TheCore to:

  • Violate any laws, regulations, or third-party rights
  • Transmit harmful, offensive, or illegal content
  • Attempt to gain unauthorized access to our systems or other users' data
  • Reverse engineer, decompile, or disassemble our software
  • Use automated scripts or bots to access our platform (except as part of our API)
  • Interfere with or disrupt the operation of our services
  • Impersonate any person or entity
  • Collect or harvest data from other users without consent

6.1 Prohibited Content and Communities

TheCore does not manage, monitor, or provide services to Discord servers that contain illegal or immoral content or materials. This includes, but is not limited to:

  • Child sexual abuse material (CSAM) or exploitation
  • Content that violates intellectual property laws (piracy, unauthorized distribution)
  • Terrorist or violent extremist content
  • Content that promotes illegal activities (drug trafficking, human trafficking, fraud)
  • Harassment, hate speech, or content that incites violence
  • Non-consensual intimate imagery or revenge pornography

We are legally required to report any servers containing illegal content to the appropriate authorities. If we discover or are notified that a Discord server using TheCore contains prohibited content, we will:

  1. Immediately terminate service to that server
  2. Report the content to law enforcement and relevant authorities as required by law
  3. Cooperate fully with any investigation
  4. Preserve evidence as legally required
No Refunds for Violations: If your server is found to contain prohibited or illegal content, your service will be immediately terminated with NO REFUND of any fees paid. This applies regardless of when in the billing cycle the violation is discovered. Violation of this policy constitutes a material breach of these Terms.

By using TheCore, you certify that your Discord server complies with all applicable laws and does not contain prohibited content. You agree to immediately notify us at hello@thecommunitycore.com if you become aware of any illegal content in servers monitored by TheCore.

7. Pricing and Payment

7.1 Subscription Plans

TheCore offers subscription-based pricing:

  • Professional Plan: $499 one-time setup fee (includes first month), then $299/month ongoing per Discord server
  • Enterprise Plan: Custom pricing

7.2 Billing

Subscriptions are billed monthly in advance. Payment is due on the subscription start date and each monthly anniversary thereafter.

All payments are processed securely through Stripe, our third-party payment processor. We do not store your credit card information on our servers. When you provide payment information, it is transmitted directly to Stripe via encrypted connection. Stripe's processing of your payment information is subject to Stripe's Privacy Policy and Terms of Service.

Accepted payment methods include major credit cards (Visa, Mastercard, American Express) and other payment methods supported by Stripe in your region.

7.3 Refunds

All sales are final. Refunds are provided solely at TheCore's discretion and are not guaranteed. The setup fee is non-refundable once onboarding has commenced.

7.4 Cancellation

You may cancel your subscription at any time. Cancellations take effect at the end of the current billing period. No partial refunds are provided for mid-month cancellations.

8. Data Ownership and Usage Rights

8.1 Your Data

You retain ownership of all data collected from your Discord server. TheCore has a limited license to use this data solely for providing our services to you.

We will NEVER sell, rent, trade, or share your data with third parties for commercial purposes. Your community data is yours, and we treat it with the utmost respect and confidentiality.

8.2 Aggregated Data

We may use anonymized, aggregated data for analytics, research, and service improvement. This data cannot be used to identify individual users or specific communities.

8.3 Data Deletion

Upon request, we will delete your data in accordance with our Privacy Policy and applicable data protection laws (including GDPR).

9. Intellectual Property

TheCore and all related trademarks, logos, and content are the property of TheCommunityCore.com. You may not use our intellectual property without prior written consent.

You grant us a non-exclusive, royalty-free license to use feedback, suggestions, or ideas you provide for service improvement.

10. Service Availability and Maintenance

10.1 Uptime

We strive for 99.9% uptime but do not guarantee uninterrupted service. Scheduled maintenance will be announced in advance when possible.

10.2 Service Modifications

We reserve the right to modify, suspend, or discontinue any part of our services at any time with or without notice.

11. Limitation of Liability

11.1 Community Management Limitations

While TheCore provides community management support, monitoring, and moderation assistance, you, as the Discord server owner, retain ultimate responsibility and liability for all content, member behavior, and activities within your Discord server.

TheCore will make commercially reasonable efforts to:

  • Monitor community sentiment and detect emerging issues
  • Alert you to potential problems before they escalate
  • Provide recommendations for addressing community concerns
  • Assist with moderation strategies and intervention plans

However, TheCore cannot and does not guarantee the prevention of all problematic community behaviors. In situations where community members engage in coordinated disruptive activity, mass rule violations, or other forms of community disruption ("community crisis events"), our ability to mitigate these issues is inherently limited and depends on:

  • The severity and speed of the escalation
  • Your responsiveness and cooperation in implementing recommended actions
  • The Discord server permissions and moderation tools available
  • Your willingness to take necessary actions (e.g., temporary lockdowns, member removals, channel restrictions)
Owner Responsibility: TheCore is NOT liable for community member behavior, user-generated content, moderation failures, or any damages resulting from community crisis events. While we provide expert guidance and support, the final authority and responsibility for your Discord server always remains with you as the server owner. Effective community management requires active owner participation and timely decision-making.

11.2 General Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THECORE AND ITS AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES.

OUR TOTAL LIABILITY FOR ANY CLAIMS ARISING FROM THESE TERMS OR OUR SERVICES SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.

12. Indemnification

You agree to indemnify and hold harmless TheCore, its affiliates, and employees from any claims, damages, losses, or expenses (including legal fees) arising from:

  • Your use of our services
  • Your violation of these Terms
  • Your violation of any third-party rights
  • Your violation of applicable laws or regulations

13. Termination

13.1 Termination by You

You may terminate your account at any time by contacting us at hello@thecommunitycore.com.

13.2 Termination by Us

We reserve the right to suspend or terminate your account if:

  • You violate these Terms
  • Your payment fails
  • We are required to do so by law
  • We decide to discontinue our services

13.3 Effect of Termination

Upon termination, your access to TheCore will be revoked. We will retain data as described in our Privacy Policy unless deletion is requested.

14. Dispute Resolution

14.1 Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.

14.2 Dispute Resolution

Any disputes arising from these Terms or our services shall first be attempted to be resolved through good faith negotiation. If negotiation fails, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Changes to Terms

We may update these Terms from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of our services after changes constitutes acceptance of the updated Terms.

16. Miscellaneous

16.1 Entire Agreement

These Terms, together with our Privacy Policy and Security Policy, constitute the entire agreement between you and TheCore.

16.2 Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in full force and effect.

15.3 Waiver

Our failure to enforce any provision of these Terms shall not constitute a waiver of that provision.
